Position: Business and Operations Director

Reports to: Executive Director

Salary & Benefits: $60,000–$70,000 salary, generous holiday and vacation, plus medical, dental, and vision benefits, 403(b) match, and discounts on Hugo House classes

Schedule: Monday–Friday, with some evenings and weekends

Hugo House Mission:

Hugo House is a nonprofit literary arts organization located in Seattle with a 20-year history as the city's hub for writers. In the fall of 2018, Hugo House moved into a new facility in the heart of the city, which has enabled dramatic growth in classes and event programming. One of the nation’s leading community-based centers for the literary arts, Hugo House has a vision to open the literary world to anyone who loves books or has a drive to write. Hugo House offers year-round creative writing programming for adults and youth, including everything from single-day classes to year-long workshops, readings and events, open mic nights, and summer writing camps.

Position Overview:

Reporting directly to the Executive Director, the Business and Operations Director is a key member of the leadership team, providing active direction for all aspects of Hugo House’s finance and operations. This position develops and manages a team that supports Accounting, Finance, Human Resources, Administration, Facilities, Concessions/Merch, and Information Technology. This team includes an Operations Manager to assist with Facilities & Office Management as well as serving as Bookkeeper and Finance Support, and the Community Support and Volunteer Manager to manage the Community Support, Volunteer, and Bar programs. This position also interacts directly with our HR, Accounting, and IT consultants to manage internal solutions.

Responsibilities and Tasks:

Finance and Accounting

  1. Manage all accounting responsibilities including accounts receivable, accounts payable, payroll deposits, inventories, and general ledger in compliance with GAAP and all appropriate regulatory requirements.
  2. Develop financial action plans to support the organization’s strategic imperatives and programmatic and operational goals.
  3. Analyze and present financial reports in an accurate and timely manner to the Board of Directors, Finance Committee, and other partners as needed.
  4. Coordinate and lead the annual audit process including the final reports to the Finance Committee and Board of Directors; complete tax return Form 990.
  5. Manage the annual budget process and preparation of the organization’s operating budget to ensure sufficient operational funding, maximize investments, and increase efficiencies.
  6. Manage organizational payroll, cash flow, and forecasting.
  7. Assess program and business performance, using clear metrics tied to strategic plan.
  8. Review all of Hugo House’s third-party contract agreements.
  9. Serve as primary contact with banks regarding all accounts, credit cards, lines of credit, etc.
  10. Manage finance support staffer.

Organization & Business Operations

  1. Work alongside leadership team to maintain and record up-to-date policies and procedures.
  2. Optimize organizational structures and work alongside ED for implementation.
  3. Set and implement policies for process improvement initiatives.

Information Technology

  1. Manage all information technology systems in partnership with Operations Manager and contractors.
  2. Oversee physical systems, such as phones, computers, and servers.
  3. Lead digital development, exploring and implementing new technologies.

Human Resources

  1. Work alongside HR consultant and hiring managers to hire and onboard all personnel.
  2. Work alongside leadership to deliver and evaluate benefit systems.

Facility

  3. Train salon and café workers on cash handling policies, bar inventory, and employee procedures.
  4. Respond to arising issues and schedule repairs.

Qualifications:

  • Share Hugo House’s commitment to building an antiracist organization.
  • Five or more years of progressively responsible experience in nonprofit financial and operational management.
  • Proven ability to manage diverse projects, programs, and activities in timely and efficient manner. Ability to coach/develop non-financial managers.
  • Strategic/analytical thinker, collaborative, energetic, creative/resourceful and mission driven.
  • Strong interpersonal skill for engaging with donors and Board of Directors, leading the organization as a member of the leadership team.
